The Senior University Recruiting Operations Specialist plays a pivotal role in the success of our Early Career / University Programs across 84.51°. This position requires a detail-oriented and organized individual who can collaborate with various partners and stakeholders to ensure execution of best-in-class programs, including Co-op Program, Intern Program and Development Program. This person would operationalize our recruitment and onboarding process for these programs while ensuring seamless processes through effective project and time management.
RESPONSIBILITIES:
- Lead operations to plan for and execute Development Program, Intern Program, and Co-op Program, in partnership with the University Program Lead and Early Career Talent Managers.
- Owning the planning and execution of the Summer Intern Program and year-round Co-op Programs, including but not limited to partnering with Functional Program Sponsors on role placements, organizing events, managing performance cycle, coordinating intern housing, etc.
- Creating and maintaining the hiring timelines for each cycle of University Programs, working with partners in HR and the business to ensure dates align with other work and processes.
- Assisting in the preparation for the fall recruiting season including updating marketing material, job descriptions, interview documents, interviewer lists, creating requisitions in Greenhouse, etc.
- Managing candidate pipeline using the Greenhouse applicant tracking system and Microsoft Excel spreadsheets.
- Organizing interviews with candidates and assisting with calibrations after final round interviews, if needed.
- Support onboarding and off-boarding for early career programs.
- Own hiring and onboarding process for University Programs, including but not limited to creating offer letters, presenting offers as needed, maintain pre-employment screenings, create position numbers into the HRIS, Workday and hiring into the HRIS, Workday.
- Execute the off-boarding process for the Summer Intern Program & Co-op Programs, in partnership with other HR partners.
- Oversee data collection for Early Career Talent Managers to effectively evaluate the success of early career program objectives.
- Maintaining a variety of reports for program progress and performance.
- Identify cross-functional synergies to enhance and centralize early career programs.
- Own recruitment reporting across functions.
- Partner with Early Career Talent Managers and University Program Lead to innovate our Early Career / University Programs and talent work to better support our business.
- Support annual data collection to understand functional needs, gaps, and how our team can improve.
- Challenge the status quo to help evolve our approach to talent in the face of rapid organizational change.
- Provide general administrative support to the Early Career / University Program team(s).
- Act as primary resource and mentor for contractors and co-ops on the team, providing direction, support, and feedback to ensure successful task completion.
QUALIFICATIONS, SKILLS, AND EXPERIENCE:
- Bachelor’s degree or higher from a four-year accredited university
- 2-4 years related experience
- Greenhouse Recruiting ATS and Workday HRIS experience preferred
- University Recruiting experience preferred
- Project management experience preferred
- Strong Microsoft Excel experience
- Ability to problem solve and think critically when faced with a roadblock
- Strong organizational skills, including attention to detail, time management, and multi-tasking
- Strong communication skills and ability to effectively collaborate with stakeholders
- Ability to remain adaptable and flexible in a fast-paced environment
- Data and reporting acumen
