The Opportunity:

At ApplyBoard, our success depends on our people, productivity, and procedures. The Office Administrator role is the supportive force driving each of these areas, and we’re currently seeking someone stellar to take the reigns.

The ideal professional for the role is a flexible problem solver with superb communication skills with a detail-oriented mindset. He/she should have prior experience thriving in an administrative capacity in an office environment. Multitasking and the unique ability to deftly handle the unexpected are essential qualities to bring to the position.

What you will be doing:

  • Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly.

  • Provide support to staff and management, including handling correspondence, preparing documents, and scheduling meetings.

  • Manage communication channels, such as phone calls and emails.

  • Supervise office staff, including clerical and administrative personnel.

  • Maintain filing systems and ensure the proper retention, protection, and disposal of records.

  • Manage data entry and other record-keeping tasks.

  • Oversee office supplies to ensure resources are available when needed.

  • Process invoices and manage accounts payable and receivable.

  • Coordinate with building management and office maintenance and repairs.

  • Ensure a safe and clean work environment.

  • Provide regular office operations reports to management and identify areas for improvement.

What you bring to the table:

  • Proven administrative experience

  • Superb written and verbal communication skills

  • Strong time-management skills and multitasking ability

  • Proficient in G-Suite and/or Microsoft Office, with an aptitude to learn new software and systems

  • Solid interpersonal skills

  • High school diploma or equivalent

  • Comfortable handling confidential information

  • Ability to adapt to changing situations in a calm and professional manner
