People Team Coordinator

WHAT YOU’LL DO
The People Team Coordinator aids with and facilitates the People Team processes and Team across bswift and serves as the primary reception contact at our Chicago, IL location. This role is responsible for ordering supplies, meals, greeting, assisting with deliveries, and helping to set up/take down team events to create positive team member experience. As the first point of contact, serves as a positive greeter and assists with general questions as needed. This role provides administrative support to the People Team function, across all aspects including creating job descriptions, record-keeping, file gathering, HRIS data entry, onboarding, and facilities.
Administrative Tasks:
Performs customer service functions by answering team member requests and questions in person, via email and phone.
Perform light administrative tasks as needed.
Daily Office Checks: Ensure the office premises are clean, safe, and well-maintained through daily checks.
People Team Tasks
Assist with various People Team Functions such as:
People Partnerships - Support tasks such as maintaining team member records and files, , and processing of exits.
Learning & Development – Coordinate setting up training sessions, assist with data entry in LMA – Learning Management System
Talent Acquisition – creating job descriptions, assisting with I9s and background checks and scheduling interviews. Assist with onboarding tasks for new hires, including preparing workstations and welcome materials.
Total Rewards – May assist with data entry and creating documents
Team Member Engagement: Help organize engagement activities and support initiatives that promote a positive company culture. Distributing and ordering company swag as needed. Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
Facilities:
Monitor and Maintain Office Supplies: Order and restock supplies as needed to ensure the office is well-equipped.
Assist with Meeting Room Setup: Arrange furniture and set up meeting rooms for various company events and meetings. This may include arranging banquet services, ordering food delivery, setting up food and taking down to ensure proper food storage
Coordinate with Vendors: Manage office repairs and maintenance services by coordinating with external vendors.
Manage Office Security: Oversee access control and surveillance systems to maintain office security. Partners with building management and IT department.
Organize Office Events: Support the organization of office events and activities to foster a positive work environment.
Handle Incoming Mail: Distribute incoming mail to the appropriate recipients. Assists or prepares correspondence as requested. Mails packets and scans documents or other clerical duties
Performs other related duties as assigned.
QUALIFICATIONS YOU NEED TO SUCCEED
High school diploma or equivalent; Associate degree and/or some college coursework preferred.
At least two years in a customer-facing role
Strong organizational skills and attention to detail.
Physical Requirements:
This role is based on -site 5 days a week Monday – Friday in downtown Chicago, IL, with occasional flexibility to work hybrid 4 days a week as long as there is office coverage.
Prolonged periods of sitting at a desk and working on a computer.
Ability to lift up to 15 lbs. and move office equipment and supplies as required.
Basic computer skills, including proficiency with Microsoft Office applications.
Excellent communication and interpersonal skills.
Ability to respond to changing priorities
Strong diligence, dependability, and follow-through
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Maintains the integrity and confidentiality of human resource information, files, and records.
Ability to work independently and perform successfully with guidance, and without a manual or written process
Proficient with Microsoft Office Suite and the desire to learn other computer/HRIS applications quickly to help the People Team be more efficient

Prior experience working in a HR/People Team department is ideal.
Standard working hours are 8:00am-4:30pm CST
In the spirit of pay transparency, we are excited to share the base salary range for this position is $18-$23/hour, exclusive of fringe benefits or potential bonuses. If you are hired at bswift, your final base salary compensation will be determined based on factors such as geographic location, skills, education, and/or experience. In addition to those factors – we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth.
