About the Role You’ll be at the center of the action—driving internal accountability and operational clarity across a company that’s reshaping the professional concert equipment industry. As the CEO’s operational right hand, you won’t just keep the trains running—you’ll make sure they’re headed to the right destination.
This is a hybrid role: part Chief of Staff, part Executive Assistant, and part Internal Ops Lead. You’ll own cross-functional follow-ups, manage high-priority projects, and act as a gatekeeper and force multiplier for the CEO’s time, energy, and attention. From coordinating investor communications to booking international flights or personal doctor’s appointments, you’ll keep the CEO and the business moving forward without friction.
You’ll thrive in this role if you are obsessively organized, assertive, tech-savvy, and resourceful under pressure. You see ambiguity as an invitation to build systems.
Key Responsibilities
- Drive project management processes across departments—track priorities, enforce deadlines, escalate blockers, and ensure nothing slips through the cracks
- Hold team members (including senior leadership) accountable to CEO-level priorities through structured follow-ups and systems
- Build, document, and audit SOPs and internal workflows using tools like Notion, Airtable, or Asana
- Manage the CEO’s calendar, meetings, inbox, and high-stakes travel logistics—often last-minute and international
- Coordinate personal logistics for the CEO—including family travel, medical appointments, purchases, and home-related scheduling
- Take meeting notes, drive agendas, assign follow-ups, and ensure execution on key decisions
- Manage and organize internal documentation, dashboards, and shared drives
- Own ad hoc special projects from 0 to 1 across business and personal domains

About You
Non-Negotiable Requirements
- 5+ years supporting a CEO, founder, or senior executive at a company with 50+ employees
- Proven experience holding stakeholders (including senior leaders) accountable to deliverables and project outcomes
- Strong project management skills with fluency in tools like Notion, Asana, Airtable, ClickUp, or Monday.com
- Experience building and auditing SOPs or internal workflows
- Demonstrated ability to manage complex travel bookings and logistics with precision, including personal arrangements
- Deep comfort managing both professional and personal domains with judgment, discretion, and grace

- You’ve built Notion dashboards or Airtable bases that teams actually use
- You’re as comfortable managing a board prep doc as you are booking a CEO’s family passport appointment
- You’re not afraid to chase down a delayed vendor or challenge a hotel manager when something’s off
Example Projects
Example Projects Investor Reporting & Fundraise Collateral Collection Own the deadline calendar for monthly investor updates. Track team inputs (e.g., GMV, lease originations, customer milestones), ensure consistency across decks and docs, and prep materials in Google Drive for final CEO review.
CEO Travel & Speaking Logistics Book international trips (e.g. Dubai, Belgium, or Saudi Arabia) for conferences or investor meetings—coordinate hotels, local contacts, agendas, and packlists. Ensure travel is optimized down to the minute, even when booked 24 hours out.
SOP System Buildout & Audit Layer Work with each department (e.g. Purchasing, Listings, Logistics) to document key processes—like how used gear is photographed, or how POs are revised post-inspection. Use Notion or Airtable to house SOPs, then implement a lightweight audit cadence to check for adherence (e.g., weekly spot checks, version tracking, or dashboard KPIs). Identify breakdowns early and recommend fixes directly to the CEO.
