Summary of the Position:


The Payroll and Benefits Specialist performs duties at a professional level focused on payroll processing, benefits administration, and related compliance activities. This role is responsible for ensuring accurate and timely payroll processing, benefits enrollment and support, managing integrations between systems, and addressing employee inquiries related to payroll and benefits. The position plays a key role in supporting the company’s HR operations and compliance with state and federal regulations.

The Payroll and Benefits Specialist position is located at the Hitachi Global Air Power manufacturing facility in Michigan City, Indiana, and reports to the Director of Human Resources.

Duties and Responsibilities:

Payroll Administration:

  • Process weekly, bi-weekly, and monthly payroll for all employee groups
  • Review and audit timecard entries; assist supervisors in resolving timekeeping issues
  • Verify completion of new hire onboarding to ensure accurate payroll and benefit integration (Workday, BenefitSolver, Fidelity, Indiana New Hire Reporting)
  • Maintain integrations for payroll systems and external vendors
  • Handle payroll calculations including deductions, garnishments, tax levies, insurance, and commissions
  • Manage payroll tax registrations and updates for new states (State Withholding and SUI)
  • Support employees with tax form updates and inquiries (W-4, State/Local tax forms)
  • Investigate and resolve payroll discrepancies or issues
  • Prepare and issue W-2 forms
  • Respond to payroll-related questions from employees in a professional and timely manner

Benefits Administration:

  • Serve as the first point of contact for employee benefits questions and issue resolution
  • Support annual Open Enrollment processes, communications, and system updates
  • Monitor benefit enrollment in BenefitSolver; follow up with employees as needed
  • Administer company leave of absence policies (FMLA, personal, disability, etc.)
  • Respond to state agencies regarding unemployment claims and wage reporting
  • Submit commission payments for international employees

Learning Management System (LMS):

  • Support LMS system management and employee training assignments
  • Assist in developing and tracking mandatory or role-based training within the LMS

Additional Responsibilities:

  • Perform compensation analysis and assist with sales commission agreements
  • Assist with internal and external audits
  • Other duties as assigned

Qualifications:

Education:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience

Professional Experience:

  • 3–5 years of payroll and benefits experience, preferably in a non-union manufacturing or industrial environment
  • Strong math and analytical skills
  • Experience with Workday and UKG Pro is a plus
  • Advanced proficiency in Microsoft Excel and other MS Office applications
  • PHR or SHRM-CP certification preferred
