Job Description

As a Marketing Events Specialist, you will play a crucial role in coordinating logistics for state-level and select national Renaissance events, including forums, trade shows, lunch and learns, user groups, and other customer-facing meetings and activities. As a Marketing Events Specialist, you will:

Coordinate logistics for regional and select national Renaissance events:

  • Manage all aspects of event logistics, including venue selection, transportation, shipping of materials, literature, and giveaways.

  • Ensure timely delivery of event invitations and other meeting deliverables.

  • Collaborate with internal teams and external vendors to ensure seamless execution of events.

  • Assist in setting up and facilitating planning calls for event stakeholders to ensure alignment and successful event execution.

Source and select event venues and negotiate venue contracts:

  • Research and identify suitable venues for events, considering factors such as location, capacity, and amenities.

  • Negotiate contracts with venues to secure favorable terms and pricing, with oversight from the manager.

Utilize team tools and support integration:

  • Integrate and utilize team tools including CRM, project and event management software to streamline event planning and execution processes.

  • Ensure accurate and up-to-date information is maintained in these tools to facilitate efficient coordination and communication.

Maintain ongoing communications with field marketing, sales and customer success teams concerning events:

  • Collaborate with the Field Marketing, Sales and Customer Success teams to align event strategies with overall business objectives.

  • Provide regular updates on event planning progress and solicit feedback to enhance event effectiveness.

Travel to select events to oversee onsite logistics:

  • Travel to designated events as required to oversee onsite logistics and ensure the smooth execution of all event activities.

  • Assist in identifying trends and insights from data analysis to inform future marketing strategies.

Qualifications

For this role as a Marketing Events Specialist, you must have:

  • Familiarity with virtual meeting software preferred.

  • Some experience with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and other computer applications.

  • Strong organizational and multitasking skills with meticulous attention to detail.

  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external partners.

  • Proven ability to work under pressure and meet tight deadlines in a fast-paced environment.

  • Willingness to travel as needed to support event activities

Bonus Points:

  • Associate's degree or Bachelor's degree with some event planning experience, or equivalent combination of education and experience.

Salary Range: $61,800 to $85,000 This range is based on national market data and may vary by location.
