Corporate Travel Coordinator helping shape how our global colleagues travel
Finance

At Xellia, colleagues travel across the world – from short European trips to complex intercontinental journeys. To support this, we are looking for a Corporate Travel Coordinator who will help ensure our travel setup remains efficient, compliant and supportive for employees on the move.

The position is based in Copenhagen and sits within Workplace Strategy and Solutions, with close collaboration across the organization – particularly with colleagues in Finance, Procurement and our Executive Support team.

This role is ideal for someone with experience in corporate travel or travel operations who enjoys combining coordination, service and operational improvements.

”In this role you’ll help colleagues feel supported wherever they have to travel, whilst sitting in the driver seat on how we evolve our global travel setup.” Explains hiring manager Marco Kreidl.

A role where operations meet optimization
As Corporate Travel Coordinator, you will support the day-to-day coordination of employee travel while helping ensure cost efficiency, strong vendor performance and compliance with travel policies.

You will work closely with our travel agency and internal stakeholders to provide reliable travel support for colleagues across the business while maintaining transparency and control over travel-related processes and costs.

Your responsibilities will include:

Travel coordination & employee support

  • Monitor travel bookings to ensure alignment with company travel guidelines
  • Support employees with travel arrangements, including complex and intercontinental travel, and provide guidance and assistance in case of changes, delays or other travel-related matters

Vendor coordination and performance monitoring

  • Liaise with travel agencies and suppliers to ensure high service levels and monitor booking quality, escalating issues when needed
  • Validate travel invoices and benchmark agency solutions against alternative options to ensure alignment with agreements and cost-effective bookings

Travel program governance and insights

  • Support the maintenance and communication of travel policies and guidelines across the organization
  • Contribute to vendor assessments and tenders in collaboration with Procurement
  • Prepare reporting on travel spend, agency performance and policy compliance, and maintain travel data in relevant systems and booking tools (e.g. Concur)

Who you are
We imagine you bring experience from travel operations, corporate travel management or a similar coordination role. You are used to handling travel-related requests, coordinating bookings and working with different stakeholders to ensure smooth and well-organized travel arrangements. Experience from corporate travel agencies or hospitality environments would be considered an advantage.

You likely bring:

  • 3–6 years of experience supporting travel-related activities, including working with travel bookings, travel agencies or corporate travel programs
  • Strong organizational skills and attention to detail, combined with a service-oriented mindset and the ability to support colleagues in time-sensitive situations
  • Confidence working with systems such as Concur or similar travel platforms
  • Good communication skills in English

What you can expect at Xellia
In this role, you will join an international company where travel plays an important role in connecting teams and supporting global collaboration.

You will have the opportunity to:

  • Gain exposure to global travel operations in an international organization
  • Work closely with Procurement and Finance on vendor management and cost optimization
  • Develop your experience within corporate travel program management
  • Be part of a collaborative and supportive team environment
