Job Summary
The Office Support Staff Specialist at Hitachi, Ltd. will provide comprehensive administrative and operational support to ensure the smooth and efficient functioning of the office environment. This role is crucial for maintaining productivity and a positive workplace experience for all employees.
Job Responsibilities
* Manage and prioritize incoming and outgoing correspondence, including emails, phone calls, and mail.
* Maintain and organize physical and electronic filing systems, ensuring data accuracy and accessibility.
* Schedule and coordinate meetings, appointments, and travel arrangements for various team members and departments.
* Prepare and edit documents, presentations, and reports using various software applications (e.g., Microsoft Office Suite).
* Order, stock, and manage office supplies and equipment inventory.
* Assist with onboarding new employees by preparing workspaces and providing initial administrative guidance.
* Coordinate with vendors and external service providers for office maintenance, repairs, and supplies.
* Support the planning and execution of internal company events and activities.
* Handle confidential information with discretion and professionalism.
* Perform general administrative tasks as assigned by management.
Job Qualifications
* High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or a related field preferred.
* Minimum of 2-3 years of proven experience in an administrative or office support role, preferably in a corporate environment.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and strong computer literacy.
* Excellent written and verbal communication skills in English.
* Strong organizational and time management skills with the ability to multitask and prioritize effectively.
* High level of attention to detail and accuracy.
* Ability to work independently and as part of a team.
* Proactive attitude with strong problem-solving abilities.
* Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
