Job Summary
We’re hiring a Workplace Manager to serve as the site lead for daily operations and workplace experience, partnering directly with Boston leadership to align the physical workplace with business objectives at our growing Boston office. This is a hands-on, people-first role for someone who brings operational precision, a hospitality mindset, and genuine passion for building environments where people do their best work - and who is energized by the autonomy to make it happen.
At OpenGov, our offices are extensions of our culture. As Culture Champion of our Boston office, you will manage the full spectrum of office needs - from vendors and facilities to events and employee experience - while building and scaling the programs and processes that grow with us. You’ll collaborate with peers across our office portfolio and step in to remotely support other locations as needed.
Responsibilities
Admin & Culture Ops
Own general office administration with excellence and hospitality top-of-mind.
Welcome guests, candidates, and new hires; provide thoughtful, high-touch office tours.
Design a curated workplace experience that incentivizes office attendance and fosters cross-functional connection. Plan and execute office events and experiences - from weekly team lunches to monthly gatherings, onsite meetings, surprise ‘moments’ - with creativity and flawless logistics.
Build on existing frameworks to design, document, and continuously improve admin procedures and programs that scale with the office and the business.
Manage vendor relationships, the procurement approval process, and the office budget; identify and implement cost-savings strategies.
Serve as the central point of contact with building and property management for all in-office logistics, inquiries, and escalations.
Support a remote office location with events and ordering needs; cover peer Workplace Managers during PTO.
Strategic Site Partnership
Site Leadership Liaison: Act as the primary workplace point of contact for Boston-based executives; participate in local leadership meetings to anticipate headcount growth and space needs.
Workspace Planning: Proactively manage seating charts and neighborhood planning to optimize team collaboration and productivity as the Boston headcount scales.
Cross-Functional Alignment: Collaborate across departments and levels to understand needs, support objectives, and elevate recurring issues into scalable solutions.
Facilities
Ensure the office is clean, well-stocked, organized, aligned with OpenGov’s brand standards and meets FM and Security standards.
Proactively address maintenance and service needs; respond to and resolve issues with timely follow-through.
Oversee vendor-managed repairs and services; manage day-to-day building relationships.
What Sets You Apart
Brand Stewardship: You view the office as a physical manifestation of the OpenGov brand, ensuring every detail reflects our mission to candidates and visitors alike.
You love events and logistics, and your passion shows in the way you plan, communicate, and execute.
You embody unreasonable hospitality - seeking ways to delight employees, candidates, and visitors before they even know what they need.
You think systemically: when a challenge arises, you solve it and ask, “Is this a pattern? How do we build something better?” You improve and scale, not just maintain.
You lead through influence - creating clarity and credibility that makes people want to follow your lead, even when it’s not required.
You thrive in a high-interruption environment. You know how to protect focus, triage urgency, and still deliver on long-horizon projects.
You are comfortable operating independently - managing your own priorities, solving problems without waiting to be asked, and knowing when to escalate.
You are meticulous and data-driven - whether it’s a budget line, an event detail, or a program metric, the details matter and you use them to improve.
You thrive in managing up - proactive communication with site leadership and management to ensure transparency and manage expectations instill confidence and trust.
Requirements and Preferred Experience
Experience: 5+ years of experience in workplace management, office operations, or high-level administrative leadership.
Program Scaling: Proven ability to build, improve, and scale programs and processes in a growing or changing environment.
Strategic Site Partnership: Proven ability to act as strategic partner to site leadership, understanding team needs and translating them into a high-impact office experience.
Autonomous Leadership: Demonstrated experience working autonomously in a role with broad scope and limited day-to-day oversight.
Influence & Accountability: Track record of driving accountability and shaping employee behavior through process design and credibility, rather than just authority.
High-Level Communication: Strong written and verbal communication skills—including the ability to draft policies, announcements, and decks with minimal direction.
Operational Precision: Highly detail-oriented with strong organizational and multitasking abilities; you solve problems and then create the "playbook" to prevent them from recurring.
Resource Stewardship: Knowledge of budgeting, procurement, and purchasing, with a focus on being a responsible steward of company resources.
Technical Savvy: Strong background with Google Suite and asynchronous collaboration tools.
Agile Mindset: You adjust and pivot easily as business needs evolve.
Office Logistics & Moves: Experience supporting office build-outs or managing an office move is a plus.
Presence: Full-time role, 5 days in-office required to lead the Boston site energy and operations.
